What personal data do we store and for what purposes do we use the data or pass it on to third parties?
We store the personal data that you have given us directly or through third parties. These are postal, electronic and telephone contact and member data, communications and payment data, as far as these are necessary for the respective purpose of their provision. We also store media (photos, videos) about our events on which you may be depicted. We distinguish between "membership data", "participant data", "public data", "payroll data" and "communication data".
We use membership data for the statutory activities of Informatik-Forum Stuttgart e.V. (henceforth: the Association) including membership administration, invitations to events and the distribution of other information. You are contractually required to provide any mandatory data. If this information is not provided, you cannot be accepted as a member of the Association. We do not share member information with third parties except for data about membership fees to banks and our tax accountants and encrypted data for archiving and backup purposes. The Association does not automate the decision whether to include a person or organization as a member.
We use participant data for the handling of events and their preparation and follow-up. We pass your participant data on to our banks and tax accountants. We pass the data on to third parties only with your express permission, for instance in the form of participant lists given to participants and co-organizers of an event. Media data are considered participant data.
We treat personal data of laureates, price or scholarship winners like participant data. We pass the data on to third parties, in particular sponsors of prices and scholarships, only with your express permission.
Public data is personal data whose publication you have expressly consented to, such as laureate names, names of price or scholarship winners, sponsor names, personal data about officers of the Association, and media that may depict you.
Payroll data is the personal data about our employees that we need for payroll accounting and the contractual relationship.
Communication data is information identifying you that you provide when you contact us, for example, your e-mail address. When you visit our website, you or your browser will provide us with technical data, in particular your IP address and the pages you have visited. We store these technical data for problem identification in case of misconduct and delete it periodically. We do not use it for personal profiling.
What is the legal basis for the processing of personal data?
According to EU Data Protection Directive Art. 6 (1) (a) we process personal data in the processing of which you have consented for one or more purposes; according to Art. 6 (1) (b) and (c) we process personal data, as far as necessary for the fulfillment of a contract, such as your membership, the participation in events, and the provision of information to statutory activities of the Association; according to Art. 6 (1) (e) we use personal data for the performance of tasks in the public interest that exist for a non-profit Association or, according to subclause (f), because there is a legitimate interest of those responsible or of third parties in, for example, the preparation, planning, processing or billing of an event.
Who are the recipients of the personal data?
The recipients of the data are the management and the board of the Association. The bank of the Association receives the data necessary for the monetary transactions; accountants and auditors have access to personal data in their specific functions. Furthermore, third parties will receive personal data from us as described above. A transfer to third parties in other EU countries is not intended. Public information is provided to the public.
What are my rights?
You have the right to request from the responsible representative of the Association access to the personal data about you, request rectification or erasure of the data or restriction of processing, the right to data portability, and the right to oppose the processing of personal data. You have the right to withdraw express consent to the use of personal data at any time; the lawfulness of the processing on the basis of your consent until the revocation is not affected. You have the right to complain to us or to the responsible supervisory authority (Landesbeauftragter für den Datenschutz Baden-Württemberg, Königstraße 10a, 70173 Stuttgart).

In principle, we will only use recipient addresses that match the personal data stored by us.
How can I unsubscribe from distribution lists?
Each of our e-mails contains a link to a page where you can request to be deleted from the respective distribution lists.
How can I request the erasure of my personal data from repositories of the Association?

We will erase your data from our repositories as soon as possible, but the following restrictions apply:
- Legal retention periods of data that contain personal data are adhered to (e.g., invoice and payment vouchers).
- Erasure of member data is only possible in connection with the termination of membership.
- Erasure of payroll data is only possible after termination of the employee relationship and after the expiry of statutory retention periods.
- Erasure of participant data takes place after completion of all administrative processes, including billing and payment. For erasure of the data kept by third parties to whom we have given your data with your express consent, please apply to these third parties.
- Erasure of communication data is only possible after completion of the work processes implied by the contents of the communication.
- The personal data embedded in backup copies of our systems cannot be erased individually for technical reasons. As far as it is technically possible for us with reasonable effort, we will erase your data from file archives. Active use (except for system recoveries, legitimate government requests, and the generation of anonymized statistics) will no longer take place. Backup copies are deleted periodically.
